A simple letter enclosed with marriage proof to the relevant organisations or banks or depts would do

As per Hindu Marriage Act, change of name/surname is not mandatory for a woman upon marriage. Visa issuing authorities also do not consider/look at a common surname as a sign of marital relationship between people. Only a Marriage Certificate is recognised as a sign of Marriage.

While her passport is still with her maiden name, what is SHE calling/preferes to call herself. Let her decide what name she prefers being called. But she needs to get most of her documents changed to her new name if she choses to use your surname, like employment records, passport, BAnk, tax related, and others.

You can apply for your passport and have to provide Marriage certificate.
